Introduction

1. Knowledge base materials are used for training processes and familiarization with documents.

2. General Structure of the Knowledge Base:

  • Shelves - materials are added to the shelves.

3. The knowledge base allows for the creation of the following types of materials:

  • PDF files;
  • Longread (combination of text, audio, video, images);
  • Media resource (video, audio);
  • SCORM package;
  • Files;
  • Links.

4. The module includes a built-in material coordination mechanism. If necessary, it can be launched to coordinate and publish the approved materials.

Creating a shelf

1. Click the plus icon Add shelf. 

2. In the opened window, add:

  • Image of a shelf.
  • Shelf name (required field).
  • Description.
  • Category.
  • Competency (which the shelf materials are aimed at developing).
  • Enable comments. Users will be able to write comments on the shelf.
  • Show feedback form. After reviewing the shelf materials, the user will be presented with a feedback form. 
  • Points. Participates in the calculation of the total points of the gamification system.
  • Hide in catalog. The shelf will be hidden in the catalog. However, when materials are assigned to the shelf, they will be available in the My Materials section.
  • Hide from extranet. The shelf will not be available to extranet users.
  • For units only. It is possible to restrict the visibility of the shelf to specific units.

3. To publish the shelf, activate the slider Publish and click Save.

Material Creation

1. Open the required shelf and press Add Material.

2. In the opened card, enter:

  • Title, image, and material description.

Attention! Without entering the name, you cannot select the material type.

  • Select material type:
    • PDFUpload a ready PDF file from your computer. You can add one PDF file per material.
    • LongreadEnter the longread title and click Add, a window for creating a longread will appear. You can add multiple longreads to one Material. 
    • Media resourceIn the opened field, enter the Media Title, and a field will appear for inserting an HTML link to the video and adding keywords. Media files can be added from any video hosting service. How to find the HTML link to a video. Usually, it can be found for any video by clicking "Share," then locating the link. It is called differently: embed code, embed, player embed code, HTML link. It always starts with . Example, . IMPORTANT! Do not delete or add any characters.
    • SCORMAdd any SCORM package format. Like PDF, only one SCORM package can be added to the material.
    • FilesChoose any file types. You can add an unlimited number of files of different types to the material.
    • LinksAdd an unlimited number of links to any internal and external sources. This can be useful, for example, when a link leads to a document that employees need to review and ensure everyone has familiarized themselves with.

To each element (pdf, Longread, video, file, etc.) inside, tags can be added. That is, tags are added not to the material, but to each content within the material.

  • Category.
  • Competence
  • Enable comments. By Default is inactive. When activated, users will be able to leave comments in the material card.
  • Show feedback formUpon activation, after reviewing the material, the system will prompt you to fill out a feedback questionnaire.
  • PointsWithin the gamification system.
  • Hide in catalog, hide from extranet (if available). Material will be hidden in the catalog or from extranet users (if available).
  • For units only. Material will be available only to employees in the selected units.
  • Approval. You can initiate the material approval process. Add employees in parallel or sequentially.
Assignment material

Any Material can be assigned to employees through the module. Appointments.

After assignment, Material will appear in the user's Personal Account under the My Materials tab in Section Assigned. 

Material in the course, program

Material can be added to the Course program.

Materials that include: video, PDF, SCORM - can be viewed immediately upon opening, other materials - by downloading to the device or opening in a separate browser window.

The materials have an element that allows for controlling the familiarization with the material.

Create shelf

1.Click the plus sign Add shelf.

2. In the opened dialog box, add:

  • Shelf image.
  • Shelf name (mandatory field).
  • Description.
  • Category.
  • Competence (which the shelf materials are aimed at developing).
  • Allow comments. Users will be able to write comments on the shelf.
  • Show Feedback Form (FF). After familiarizing themselves with the shelf materials, the user will be presented with a Feedback Form (FF).
  • Score. Participates in calculating the overall gamification system score.
  • Hide in catalog. The shelf will be hidden in the catalog. However, when materials from the shelf are assigned, they will be available in the My materials section.
  • Hide from extranet. The shelf will not be available to extranet users.
  • Only for departments. Shelf visibility can be Restricted to specific departments.

3. To publish the shelf, activate the publish slider and click save.

Create material

1.Open the desired shelf and click Add Material.

2. In the opened card, enter:

  • Material name, image, and description.

Attention! Without entering a name, you cannot choose the Material type.

Select the material type:

    • PDF. Upload a ready PDF file from your computer. Only one PDF file can be added to one material.
    • Longread. Enter the Longread name and click Add; a window for creating the longread will appear. Multiple longreads can be added to one material.
    • Media Resource. In the opened field, enter Media Name; a field for inserting the html-link to the video and adding keywords will appear. Media files can be added from any video hosting. How to find the html-link to a video. Usually, it can be found for any video by clicking "Share", then finding the link. It is called differently: embed code, embed, player embed code, html-link. It always starts with <iframe and ends with </iframe>.     • SCORM. Add any format SCORM package. Like PDF, only one SCORM package can be added to the material.
    • Files. Choose any file types. An unlimited number of different file types can be added to the material.
    • Links. Add an unlimited number of links to any internal and external sources. This can be useful, for example, when a document located via a link needs to be reviewed by employees and it needs to be controlled that everyone has reviewed it.

Tags can be added to each element (pdf, longread, video, file, etc.) inside. That is, tags are added not to the material, but to each content element within the material.

  • Category.
  • Competence.
  • Allow comments. By default inactive. When activated, users can leave comments in the material card.
  • Show Feedback Form (FF). When activated, after familiarizing with the Material, the system will offer to fill out a Feedback Form (FF).
  • Score. Within the gamification system..

  • Only for departments. The Material will be available only to employees in selected departments.
  • Approval. Material approval can be initiated. Add employees in parallel or in sequence.
Assign material

Any Material can be assigned to employees through the Assignments module.

After Assignment, the material will appear in the user's Personal account under the My materials tab in the Assigned section.

Material in course, program

Material can be added to a course or program.

Materials containing added: video, pdf, SCORM - can be viewed immediately upon opening; other Materials - by downloading to the device or opening in a separate browser window.

Materials have an element allowing control of familiarization with the material

Material statuses

Materials have the following statuses:

  • By creation: published; draft.
  • Upon passing: Passed; Not Passed; Not Started.

Answer:

To create a shelf, click "Add Shelf". In the opened window, you can add an image, a title (required field), a description, a category, and a competency. You can also configure parameters such as comment permissions, displaying a feedback form, awarding points (for gamification), hiding from the catalog or from extranet users, as well as Restriction visibility for specific departments. To publish the shelf, activate the "Publish" toggle and click "Save".

Answer:

To create a Material, you need to open the desired shelf and click "Add Material". In the card that appears, enter the title, add an image and a description. Then select the material type (PDF, Longread, Media Resource, SCORM, Files, Links). For each element within the material, you can add tags. Additional settings include category, competency, comment permissions, showing a feedback questionnaire, awarding points, hiding from the catalog/from extranet users, Restriction by departments, and launching the material approval process.

Question: How can I assign Material to employees?

Answer:

Any created Material can be assigned to employees through the "Assignments" module. After assignment, Material will appear in the user's personal account under the "My Materials" tab, in the "Assigned" section.

Answer:

Knowledge Base materials can be added to courses and programs. Materials containing video, PDF, SCORM, or Office files can be viewed directly upon opening, while other materials require downloading to the device or opening in a separate browser window. The system also allows for tracking user engagement with the materials.

Question: What statuses can materials have in the Knowledge Base?

Answer:

Materials have two types of statuses:

  • On creation: "published" (Material is available) or "draft" (Material is In Progress development and not yet published).
  • Upon completion: "Passed" (user has reviewed the material), "Not Passed" (user started but did not complete the review) or "Not Started" (user has not started the review).
