Introduction

Training groups in the application are integrated with groups in Bitrix 24.

Study groups are a tool for supporting and organizing the learning process. Standard application group functionality includes:

  • Distribution (separation) of student flows;
  • Organization of access to courses/tests for external users;
  • Restriction access to courses/tests;
  • Organization of Inter-Module Work.

1. The sub-accounts module allows organizing access for an unlimited number of users to Brusnika.LMS under a single account of your CRM or ERP system. Accordingly, the data in the application will be personalized by sub-accounts.

The module will be useful in the following scenarios:

  • When an organization has branches or stores that share a single CRM or ERP system account across all departments.
  • When an organization has external distributors or partners that require training.
  • Any other cases where a single CRM or ERP system account is used for multiple people, while still requiring personalized training and testing data.

 Sub-accounts can be either external users or employees of the organization.

2. The Subaccounts module is paid. To use it, a subscription must be purchased in the My Plan-Subaccounts section.

1. Individual Development Plans (IDP) are built based on the competency model. 

Individual Development Plan (IDP) is a set of training and development activities (DA) that contribute to competence improvement and professional growth.

2. The model IDP is formed as follows:

Competence 1;

  • Indicator 1.1 - Scale, Target Level
    • Developmental Event 1.1 for Indicator 1.1
    • Developmental Event 1.2 for Indicator 1.1
  • Indicator 1.2 - Scale, Target Level
    • Developmental Event 1.1 for Indicator 1.2
    • Developmental Event 1.2 for Indicator 1.2
    • Developmental Event 1.3 for Indicator 1.2

A competency can have any number of indicators, and indicators can have any number of developmental activities.

3. Each employee has their own individual IDP.

4. The roles in the module are as follows:

  • Employee - the employee for whom the IDP is being generated. Can enter Status for developmental activities.
  • Manager - the employee's supervisor. Creates IDP, monitors its execution.
  • Mentor - Mentor of the employee. Creates IDP, monitors its execution.
  • Application moderator - can perform any actions.

1. The "Competency Management" module consists of 3 sections:

  1. Competency Model (Competency Blocks);
  2. Rating scale;
  3. Competency Profiles.

2. Published competencies are used for:

  • In the 360-degree assessment.
  • When creating competency profiles.
  • When creating individual development plans (IDP).
  • When creating courses/tests. Indicate which competencies the corresponding courses/tests develop.

3. The competency management model in the application is two- or three-tiered.

Level 1 - Competence. For example, "teamwork".

Level 2 - Manifestation Indicator. For example, for the competency "teamwork": "shows interest in the opinions of other colleagues," "quickly establishes contact and maintains partnership relationships," etc.

Level 3 - Assessment. It can be any, 1, 2, 3, 4, 5, or manifests, does not manifest, etc.

At each level, any values can be set.

  • Configuration estimates.
  • Choice evaluated and evaluators. The evaluated are always added by the moderator. Evaluators can be formed in two ways:
      • The moderator forms the list of individuals to be evaluated. Each evaluator is added to the evaluated person individually. It is possible to pull from the subordinate structure or the manager.
      • The evaluators themselves form the list. This option is activated, then the evaluated individuals in their personal account, in the My Evaluations section, receive a task to form a list of evaluators and Choice who approves this list.
  • Choice of competencies and scales. Competencies can be pulled from the competency block profile. Profile, competency blocks and scales are pre-entered in the Competency Management module.

3.3. Status for list formation and the assessment itself can be viewed in the Results tab.

3.4. After the assessment is completed, the results will be available in the Results tab and in the Reports section.

1. The following educational components can be assigned in the application:

  • Programs.
  • Courses.
  • Tests.
  • Materials.

2. Assignment can only be performed by the application moderator.

3. By Default all educational components published in catalogs are available for self-assignment. That is, when a learner starts completing them independently, Self-Assignment occurs.

4. When Assignment is assigned by a moderator, the educational component receives Status "Assigned". When a learner independently starts completing the educational component, it receives Status "Self-assigned".

5. The application offers four types of assignment:

  • One-time Assignment.
  • Regular Assignment.
  • Assignment for beginners.
  • Assignment for groups (for Bitrix 24).

One-time Assignment of the educational component to the selected group of learners.

Regular AssignmentA one-time Assignment is assigned a recurrence schedule. 

Assignment for beginnersEvery new employee who will be added to the portal will undergo this Assignment.

Assignment for groups (for Bitrix24)Assignment will occur for all group members. Subsequently, when a new member is added to the group, this Assignment will automatically occur for them. 

IMPORTANT! The system generates reports strictly for the selected period. Data outside this period is not included. For example, if an employee took a test on the 5th, but the report is generated for the period from the 6th to the 10th, the results from the 5th will not be reflected in the report.

1. Reports are available to the moderator (all types of reports for all employees), to the employee for themselves in the left menu, and to the manager for themselves and their subordinates in the left menu.

2. Report settings are saved to avoid constant re-entry. If the organizational structure changes and old report parameter settings are used, the report will generate incorrectly. It is necessary to re-enter the report parameters (select appropriate departments or groups).

3. By Default when generating reports, active employees are included. If you need to include terminated employees, activate this element (if available).  image.png.

Types of Reports

1. When clicking on an element Reports are opening.

2. The following are available in the application: types of reports:

Reports Go courses:

  • Employees-Courses - employees and the courses they are taking.
  • Employee-Courses - courses and the employees who take them.
  • Specific Course - employees - specific Course and employees who are taking it. Multiple courses can be selected.
  • SCORM- employees. Displays the results of completing courses that contained lessons in the standard SCORM.

Reports Go test items:

  • Subdivisions - tests. 
    • Select the departments for which the report needs to be generated. If a department includes level 2 units, they will also be included in the report. All employees from the selected departments will be included in the report.
    • Dates are selected. Then, a report is generated.
    • The report will present detailed results of employees' test completion if they fall within the filters for departments and dates. Moreover, for each question, it will indicate Correct or Incorrect given Answer: Correctly, Incorrectly.
    • This report will be useful for situations where it is necessary to analyze the learning progress within a department, while identifying specific groups of employees (for example, these could be groups based on functional or territorial criteria).
  • Employees-Tests - employees and the tests they take.
  • Tests-employees - tests and the employees who take them.
  • Specific Test - employees - specific Test and employees who are taking it. Multiple tests can be selected.

Measures:

  • Activities: external and in-person - participation of selected employees in external and in-person events.

Reports on by purpose:

  • Number of employees - shows how many people are in each assignment in total.
  • Percentage of successfully completed employees - shows the percentage of employees who successfully completed testing in the assignment.
  • Learning Progress by Assignments - shows Status test completion breakdown by assignments.
  • Overall training progress - for each employee, the cumulative progress across all their assignments for the selected period.

Reports on groups (if any):

  • Number of employees - indicates how many people in total within the groups are undergoing testing.
  • Percentage of successfully completed employees - shows the percentage of employees who successfully completed testing in groups.
  • Learning Progress by Group - shows Status test completion rates across groups.
  • Overall learning progress - for each employee, the cumulative progress across all their groups for the selected period.

Miscellaneous:

  • Rating Employee points (write-off). The report allows obtaining information about the current level of accumulated points and performing their write-off.
  • Rating Employee (detailed breakdown). The report provides detailed information on point accrual.
  • Feedback Forms - Report on the Results of Feedback Form Collection
  • Programs. Report on the results of employees completing programs.
  • Assessment 360. The report shows integral evaluation results.
  • Polls. The report displays the results of poll completion.

3. Test Specifics. The test status displays information Passed or Not Passed Test, the number of points scored, and the passing Score. The status also indicates whether Test was assigned by a moderator - in this case, "Assigned" will be displayed, or if the student registered independently, in which case "Self-Enrollment" will be displayed.

Example. In this screenshot Test Not Passed, 20% is scored, while the passing percentage is 70, the student registered independently.

In the screenshot below Test Passed, 100 percent is scored, while the passing percentage is 50, the student was assigned Test by the moderator.

If an employee fails the test, the following information will be displayed:

  • How many questions out of how many are given Correct Answer;
  • Questions incorrectly answered by Answer.

If there were multiple-choice questions, the following will be indicated for these questions:

correct selected - Answer Correct

correct unselected - Answer invalid

incorrect unselected - Answer Correct  

incorrect selected - Answer invalid

In the screenshot below, we have:

  • Option 1 is correct and it is selected - i.e. Answer Correct;
  • Option 2 is incorrect, but it was selected - i.e., Answer is invalid.
  • Option 3 is correct, but it is not selected - i.e., Answer is incorrect.
  • Option 4 is incorrect and it is not selected - i.e. Answer Correct;

A large number of standard reports are available in the application. They allow tracking of Status and the dynamics of training and testing progress. Reports available to the following roles:

  • Moderator. Can build any reports for any employees and has full access to the application and settings.
  • Moderator with limited permissions. Has access only to the reports section. Can generate any reports for any employees. For example, this could be a responsible person in a department who collects progress information and provides it to the manager.
  • Manager. Can generate any reports on their subordinates (first and second level according to the company structure).

Question: The report is not fully visible on the screen. How can I make it fully visible?

Answer:

Possible options:

  1. Reduce screen size.
  2. Remove unnecessary columns.
  3. Export report to Excel. 
Question: What is reporting in the Brusnika.LMS system and who has access to it?

Answer:

Reporting in Brusnika.LMS is a system for generating various reports on the learning process. Access to reports is available to:

  • Moderator: Has access to all types of reports for all employees.
  • Employee: Has access to reports about themselves through the left menu.

  • Test Reports: Provide detailed test completion results for employees, including "Departments - Tests" (analysis of learning progress across departments), "Employees - Tests", "Tests - Employees", and "Specific Test - Employees".
  • Measures: Reports on the participation of selected employees in external and in-person events.
  • Assignment Reports: They track the number of employees in assignments, the percentage of successful completions, and the learning progress both for specific assignments and overall.
  • Group Reports (if available): Similarly to assignment reports, they show the number and percentage of successful completions, as well as learning progress within groups.
  • Miscellaneous: Includes "Rating employees" (points write-off and breakdown), "Feedback forms", "Programs", "Assessment 360" and "Surveys".
Question: What are the characteristics of test reports, and what information do they provide?

Answer:

Test reports in Brusnika.LMS provide detailed information about test completion. They can be organized by departments, employees, or specific tests.

Key Features and Information:

  • Detailed Results: Reports show Passed or Test, the number of points scored, and the passing Score.
  • Status purpose: It is indicated whether Test was assigned as a moderator ("Assigned") or the employee signed up independently ("Self-Enrollment").
  • Analysis of responses: For each test question, it is displayed whether a Correct or Incorrect Answer was given.
  • Breakdown of incorrect answers: If an employee fails the test, it is indicated how many questions out of how many were answered Correct Answer, and the questions to which Incorrect Answer answers were given are listed.
  • Multiple Choice: For multiple-choice questions, correct selected, correct unselected, incorrect unselected, and incorrect selected answer options are marked, which allows for a precise understanding of the nature of errors.
Question: How does the system track learning progress by assignments and groups?

The "Miscellaneous" category includes reports that do not fall under the main categories of courses, tests, events, assignments, or groups, yet are important for a comprehensive assessment of employee learning and development:

  • Rating Employee write-off: Provides information on the current accumulated points of employees and allows for their redemption.
  • Rating employees (detailed): Provides detailed information on point accrual, allowing analysis of what and when points were earned.
  • Feedback Forms: Отчет по результатам сбора анкет обратной связи, что полезно для оценки удовлетворенности и предложений сотрудников.
  • Programs: Report on the Results of Employees' Completion of Educational Programs.
  • Assessment 360: The report presents the integrated results of the employee's competency assessment using the 360-degree feedback method.
  • Polls: Report on the results of various surveys, which can be used for collecting opinions and data.
Question: What general principles apply to the formation of all reports in the system?

Answer:

When generating reports in the Brusnika.LMS system, several general principles should be considered:

  • Strict period: Reports are generated strictly for the selected period. Data outside this period is not considered.
  • Save Settings: Report settings are saved for convenience, but when the organizational structure (departments, groups) changes, they must be updated to prevent incorrect report generation.
  • Employee filtering: By Default Current employees are pulled. If necessary, the option to include terminated employees can be activated.
  • Access by roles: Access to reports is regulated by user roles (moderator, employee, manager) and their permissions.
  • Data relevance: For accurate reporting, it is important to ensure that the parameters used (e.g., departments) are up to date.
Question: What is the specificity of detailing responses to multiple-choice questions in test reports?

Answer:

In test reports, when analyzing multiple-choice questions, the system provides detailed breakdowns for understanding errors:

  • Correctly selected: It is noted that this answer option was correct and was selected by the employee (Correct Answer).
  • Correct unselected: Indicates that this answer option was correct but was not selected by the employee (incorrect Answer). This helps identify which correct options were missed.
  • Incorrect unselected: Indicates that this answer option was incorrect and was not selected by the employee (Correct Answer). This demonstrates the correct elimination of incorrect options.
  • Incorrectly selected: Indicates that this answer option was incorrect but was selected by the employee (incorrect Answer). This helps identify misconceptions or incorrect Choice.

Such a level of detail allows not only to identify the error but also to understand its nature, which is extremely useful for adjusting training materials or individual work with employees.

Purposes


Creating an assignment

1. Assignment of tests, courses, materials.

One-time Assignment:

  • Enter name.
  • Select courses, tests, or materials to assign.
  • Select the employees who will receive the Assignment.
  • Select the module responsible person (this is an employee who will be assigned the task and will be the observer in it - for Bitrix 24).
  • Enable or disable "Create tasks". For Bitrix24 and Zoho CRM. Whether a task is created in Bitrix24, Zoho CRM.
  • Select the start and end of the assignment.

Attention! The educational component (Course, Test, Material) will appear in your personal account on the scheduled date. For example, the current date is May 1. Assignment is scheduled for May 5. This means the educational component will appear in your personal account on May 5.

Regular Assignment.

Add frequency (monthly, quarterly, semi-annually, or annually). The system will perform this Assignment at the specified frequency. 

Assignment for beginners

When creating an assignment, activate "This is a template for assignment - for new employees". Enter the title, add an educational component.

Assignment for group (for Bitrix24)

When creating an assignment, activate "This is a template for assignments - for groups". Enter a title, add an educational component, select a group. When a new group member is added in Bitrix, they will automatically be assigned Assignment.

This scenario can also be implemented for newcomers. When different onboarding programs need to be assigned to newcomers, different groups are created in Bitrix for different target audiences. When a newcomer is added to the Bitrix24 portal, they are automatically added to this group in Bitrix.

WARNING! Assignment templates create new assignments. According to their own scenarios. That is, new assignments will automatically appear in the assignment list.

2. Assignment software

1. Select the program for assignment, employees, and setup method (for Bitrix24). 

2. In the assignment, you can edit the deadlines for modules, those responsible for specific modules, and the program as a whole. 

IMPORTANT! In Assignment you can add new employees. After adding new employees, click the Save button.

The results of program assignments are available in the "Program Results" tab. The results of other educational component assignments are available in Reports.

Assessment 360

1. Introduction

Module Subaccount Management In the system Brusnika.LMS, it is designed to organize personalized access for an unlimited number of users under one common account of a CRM or ERP system (e.g., Bitrix24 or Zoho CRM). This allows separating learning and testing data for each specific person, even if technically they use one login in the main system.

Below is a detailed description of the module's functionality based on sources.

1. Section Appointments intended for managing the process of assigning to users. The module presents three key blocks:

  1. Assignments of courses, tests, materials, surveys: A tool for mass or individual distribution of individual educational units.
  2. Program Purposes: Tool for assigning complex learning trajectories.
  3. Program Assignment Monitoring Progress monitoring panel for assigned programs.

  • Programs.
  • Courses.
  • Tests.
  • Materials.
  • Surveys.

3. Assignment can only be done by the application moderator.

4. In the system, assignments are classified by method of initiation (by moderator, user, or system) and by the degree of process automation.

A. Manual Assignment

Manual Assignment is being performed. moderator applications for specific users or groups.

  • One-time Assignment: Single distribution of educational components (courses, tests, materials, or programs) to a selected audience. The moderator manually enters a name, selects content, recipients, and sets deadlines.
  • Standard programs: Require manual assignment by a moderator for each case if the template mechanism is not used.

When manually assigned, the educational component receives in the system Status Assigned.

B. Automatic Assignment (Templates)

Automation is implemented through the mechanism. assignment templates, which automatically create new assignments in the list when certain conditions are met.

  • Assignment for beginners: The system automatically assigns content each new employee, which is added to the portal or CRM system. The moderator can configure deferral of assignment in days (for example, Assignment will occur on the 10th day after the employee's departure).
  • Assignment for groups (Bitrix24): Content is assigned to all members of the selected group. Subsequently, when adding any new member to the group, the system will automatically assign him the corresponding materials.
  • Assignment for departmentsThe scenario automatically assigns selected courses and tests to employees who are added to the specified department. Launch modes: Automatically: The system checks for new employees in the department and makes assignments. once a day at the moment the moderator enters the applicationManually: The moderator can initiate the process immediately by clicking the button. Apply immediately Application condition: An important feature is that assignments are received only by those employees to whom this scenario has not yet been applied. This prevents duplication of the same materials for one user.
  • Regular (periodic) Assignment: The system repeats Assignment with the given periodicity (monthly, quarterly, semi-annually, or annually)

C. Self-Assignment (Self-Enrollment)

"This type of assignment is initiated directly." Learners.

  • Self-Assignment: Occurs when a user independently finds Course, Test or a program in a common directory and starts Completion them.
  • All components published in the By Default catalogs are available for self-assignment, if they have not been locked by a moderator via group settings.

In reports and personal account, such materials are displayed with status Self-assigned or "Self-Enrollment".

IMPORTANT! The system generates reports strictly for the selected period. Data outside this period is not considered. For example, if an employee took a test on the 5th and the report is generated from the 6th to the 10th, the results from the 5th will not be reflected in the report. The system will show Status Not Started.

1. Rights access:

    • Moderator: Full access to all reports on all employees.
    • Manager: Access to reports on oneself and one's subordinates (levels 1 and 2)
    • Employee: View personal statistics in your menu.

3. By Default When building reports, active employees are pulled. If you need to pull dismissed employees, activate the "Search in dismissed" element (if available).

The main screen of the section contains three main blocks:

  1. All reports: Universal constructor for exporting data on courses, tests, and users.
  2. Survey reports Analytics of survey data, including visualization and AI analysis.
  3. Activity reporting Event and checklist (task) data.

3. Module "All Reports" (Designer)

1. This subsection allows flexible configuration of export parameters.

2. Creating a New Assessment
