Disk

Section The disk is designed for managing disk space.

The data storage architecture in the application is structured as follows:

  • Packages SCORMfiles (videos, images, pdf), which are added to lessons, tests, courses - are stored on the application developer's servers. Data related to statuses, settings, reports, notifications (operational data) - are stored in the database on the developer's servers. Daily data backup is configured on the server, so all data is secure.

1 gigabyte is provided for free in the cloud. This is sufficient to create a large number of courses, tests, 360-degree assessments, IDP, etc. However, if there is a need to upload a large amount of SCORM- packages, video, PDF- or JPGIf you are running out of disk space, you need to expand the disk space or delete unnecessary files.

To delete unnecessary files:

Open Section to manage SCORM, files, or databases

Select unnecessary files and delete them. Deleted files will be moved to the Recycle Bin. Files in the Recycle Bin will be automatically deleted after 30 days. You can also restore deleted files from the Recycle Bin.

If the Disk runs out of space, the application will issue a warning (when more than 90% is occupied).

After exceeding the limit, the application will be blocked and display the following message:

To expand disk space:

IMPORTANT! For the changes to be saved and applied, they must be made by the Administrator of your portal (Bitrix24 or any other system). If an employee is an application moderator but is not a portal administrator, the changes will not be applied.

Additionally, to apply the changes, you need to purchase a subscription to Themes in the "My Plan - Theme" section.

Question: How to change the color, name, and logo of the application?

Answer:

In the application, you can change the color of the entire application or individual elements, the logo, and the application name displayed at the top left.

This option is paid. The current price can be found in the Settings - Application Settings - My Plan - "Theme" tab.

For Bitrix24. Only a moderator with Bitrix24 portal administrator rights can make changes to the application. For other integrations such as Zoho CRM, amoCRM, Megaplan, YClients, and the SA version, application moderators can make changes.

To change the color, name, and logo of the application:

  • Open Section Theme (Settings - Application Settings)Enter a new application name, add a logo, and configure the application colors.
  • If the Topic subscription is purchased, the settings will be saved automatically. If the subscription is not purchased, the LMS will warn about this.

Question: Why is our logo missing in the LMS?

Answer:

Brief Answer: The logo may be missing because changes were not made by the portal administrator, a theme subscription was not purchased, or the Theme module was deactivated in the Additional Modules section.

Question: We added the application name, but it overlaps with the logo. How can we add the LMS name so it is positioned neatly?

Answer:

For this, use an HTML insertion of the following type: University . Replace the word "University" with the name of your LMS. Please note that if the name is longer than 20 characters, it will not fit in the field allocated for this purpose.

Introduction

1. The application includes a gamification module that works with two basic entities:

  • Points.
  • Rating.

2. Points are awarded for the following actions in the application:

  • Passed Lesson;
  • Passed Test;
  • Passed Final Test;
  • Passed Course;
  • Passed Program;
  • Participation in the event;
  • Check open questions;
  • Participation in 360-degree assessment;
  • Feedback form completion;
  • Setting a course/test grade;
  • Comment on course/test;
  • Execution of plan IDP.
System Configuration

1. By Default points are not awarded and values are not set in all items.

2. Points for actions are awarded in the "Settings - Application Settings - Points" section.

3. After setting the values, points begin to accrue.

4. Rating configuration is performed in the "Settings - Application Settings - Points" section. Rating levels are assigned based on accumulated points.

5. Programs, courses, lessons, and tests have the capability to configure their personal points. When creating a program/course/test/lesson, it is possible to set the points that will be awarded upon completion of the specific program/course/test/lesson. These points will take priority over the general settings.

That is, you can set in the general settings, for example, 10 points for the Completion test. Accordingly, 10 points will be awarded for each Test. When creating a specific test, its settings specify 40 points. Then, upon passing this test, 40 points will be awarded.

In courses, programs image.pngin tests

6. Definition of points awarded for the Course program. Since Course, Program consist of lessons, tests, events, and courses, the application implements two methods for awarding points for the Course program.

The first method. The moderator manually specifies the number of points that will be awarded for the Course program.

The second method. The moderator specifies that the number of points will be equal to the sum of all points from lessons/tests within the course or program.

In both cases, the second setting allows you to specify whether points are counted for each module within the course or program. That is, they can either participate in the calculation (points will be awarded for Course, the program as a whole, and for each module) or not participate (in which case points will only be awarded for Course, the program, and the modules within the course or program will not be included in the overall point calculation).

Accrual results, points deduction

1. The employee performs actions for which he receives points and is assigned Rating.

2. The points earned and your Rating can be viewed by the employee in their personal account in the My Rating section.

3. In the Reports section, the Application Moderator can generate two types of reports:

  • Rating Employee write-off;
  • Rating employees (detailed breakdown).

In the "Rating Employees (Write-off)" report, you can write off accumulated points. For example, when exchanging points for a gift. At the same time, Rating also decreases if it was at the boundary.

In the "Rating Employee Details" report, it is possible to view detailed score accruals for the period.

Question: What is gamification in an application and what basic entities does it use?

Answer:

Gamification in the application is a module that utilizes two main entities: points and Rating. It is designed to motivate users to perform various actions within the application by awarding them points and assigning corresponding ratings.

Question: For which actions can users earn points?

Answer:

Points are awarded for a wide range of activities, including: Completion lessons, tests (including final exams), courses, and programs; participation in events; grading open-ended questions; participation in 360-degree feedback; completing feedback surveys; rating courses/tests; commenting on courses/tests; as well as fulfilling the individual development plan (IDP).

Question: How is the points and rating system configured?

Answer:

By Default points accrual is disabled. Points and rating levels configuration is performed in the "Settings - Application Settings - Points" section. After setting the values, points begin to accrue. Rating levels are assigned based on accumulated points.

Question: Is it possible to set individual scores for specific programs, courses, lessons, or tests?

Answer:

Yes, programs, courses, lessons, and tests can have individual score settings. When creating them, you can specify the exact number of points that will be awarded for their Completion. These individual settings take priority over the general score settings. For example, if Test awards 10 points according to the general settings, but a specific test's settings specify 40 points, then 40 points will be awarded upon completing that specific test.

Question: How are the points awarded for Course or the program determined?

Answer:

For courses and programs, two methods of determining points are provided:

  1. Manual method: The moderator manually specifies the number of points for Course or the program.
  2. Automatic method: The moderator indicates that the number of points will be equal to the sum of points from all lessons and tests included in the course or program. In both cases, it can be additionally specified whether points for individual modules within the course/program will be counted in the overall calculation (i.e., points will be awarded both for the Course/program as a whole and for each module) or only for the Course/program without considering points for the modules.
Question: Where can employees track their earned points and Rating?

Answer:

Employees can view their accumulated points and current Rating in their personal account, in the "My Rating" section.

Question: What reports are available to the application moderator regarding gamification?

Answer:

The application moderator can generate two types of reports in the "Reports" section:

  1. "Rating employees (write-off)" This report allows viewing employee Rating and provides functionality to deduct accumulated points, for example, when exchanging them for rewards. When points are deducted, the employee's Rating also decreases if they were at the level boundary.
  2. "Rating employees (breakdown)" This report provides detailed information on employee point accruals for a specific period.
Question: Is it possible to write off accrued points, and how does this affect Rating?

Answer:

Yes, a moderator can deduct awarded points through the "Rating Employees (Deduction)" report. When points are deducted, for example, when they are exchanged for gifts, the Rating of the employee also decreases, especially if their current Rating was at the threshold of the corresponding level.

Rating and points

The general workflow diagram is presented in the "Gamification. General mechanism».

Points are a gamification element implemented to engage employees.

When "Completed Course" is activated, the following settings appear:

  • Scoring calculation method. There are two options:
    • By summing up the points for the modules. That is, the overall Score for Course will be equal to the sum of the points for all lessons and tests in the course.
    • Manual input. Points are entered manually when creating a course. Regardless of the number of points for each Course and Test within the course, the manually entered number of points will be awarded for completing Course.
  • Accrual of points for modules:
    • Do not award points. Only points for Course will be counted, and points for modules within the course will not be awarded.
    • Award points. Points will be awarded for both Course and for each module within the course.
    • Points - how many points will be awarded for completing Course.

Similar settings will be applied when activating "Completed Program".

Additionally, points can be assigned to the following actions in the application:

Ratings - Status of the learner, displayed in their profile.

You can add, delete, and edit existing rating levels.

Earned points and Rating are displayed in the "My Rating" tab of the employee's personal account:

Notifications

1. General message settings in Notification Center: disabled/At User's Discretion/enabled. Disabled - left position, At User's Discretion - center position, enabled - right position.

2. The mechanism works as follows. When a notification needs to be sent, the application first checks the general notification settings (in this section). These have priority. If Disabled is selected, notifications will not be sent. If Enabled is selected, notifications will be sent. If At User's Discretion is selected, then Completed what is chosen in each user's personal settings will apply. Personal notification settings are managed by each employee in their personal account under the section Feed.

Blue - for all employees, red - for moderators only.

Reminders

Allows setting reminders for the employee who has been assigned tasks.

Hiding courses, tests, events, programs catalog

By Default all four items are inactive. When activated, the corresponding Catalog will be hidden from all users except moderators. This can be useful, for example, when there are no tests and events, but only courses available.

Tags

Additional filter displayed in the course and test catalog. To avoid overloading sections.

To add, click the plus sign and enter the tag; it will immediately appear in the filter.

Question: How to change or disable notifications?

Answer:

The application implements a two-level notification management system:

  • At the first level, the moderator manages notifications for all employees.
  • At the second level, the employee can configure personal notifications.

Notifications for All Employees are configured in the section: Settings (gear icon top right) - Application Settings - More - Other - Section Notifications. For notifications, three positions can be set using the slider:

  • Off (left position);
  • At User's Discretion (centered position);
  • On (right position).

If notifications for a specific action are disabled, they will not be sent to anyone. If enabled, they will be sent to all relevant users. If At User's Discretion, then the user can customize notification delivery in their personal settings.

Personal Settings уведомлений осуществляются в разделе Feed - Настройка сообщений. Если в общих настройках для какого-то действия задана опция "At User's Discretion", то пользователь может в данном разделе включить или выключить персональные уведомления.

Also, the application has the capability to set reminders for certain types of notifications:

  • Assignments (tests, courses, programs);
  • 360-degree feedback (need to assess).

If you enter a number in the corresponding field in the Reminders section (Settings (gear icon at the top right) - Application Settings - More - Others - Section Reminders), the system will send daily notifications.
